Can I use my own box?

Yes, you can. It may sound simple, but the boxes you use make a big difference in the overall durability of your documents and files. Here’s how our recommended box choice protects the integrity of your legal documents, personnel data, classified materials, evidence, and more.

  1. We prevent document damage with strong boxes
    Boxes can break or bend under pressure, our corrugated, 200lb. tested cardboard boxes, are durable and withstand the pressures of storage and handling.
  2. We use a safe stacking approach
    If you’ve ever had an avalanche of boxes in your office or garage, you know how easy it is to overstack and crush the bottom boxes. Fortunately, we’ve taken steps to prevent collapsing. Our stacking method of three high and three deep stacks better and more securely.
  3. Added Security
    Our boxes have designated locations for barcode labels and pre-punched holes to be used with our CoroSeal. Coroseals add an extra level of security to protect all of your files and records.
  4. Environmentally Friendly
    Our boxes are made out of recycled material.

Does Corodata provide Climate Controlled Storage?

Yes. Corodata has specialized in climate controlled storage for more than seven decades.

At Corodata, we provide climate-controlled storage in the form of our Firelock vaults. These vaults are constructed of panels with a ceramic core. They are further shielded against electromagnetic waves which may harm electronics stored inside. Each vault is digitally monitored 24/7, with badged background checked trained employees. Our vaults can protect antique paintings, film negatives, and police evidence that needs to be kept in pristine condition. 

Our vaults are ideal for the storage of media, antique documents, and delicate valuables of all kinds.

How are the boxes collected and stored?

Corodata utilizes best-in-class O’Neil Software to track and record our clients’ records via a barcode. Our drivers and records center staff scan the barcodes whenever the records are in their possession. These scans, called “ audits ,” provide, at a minimum, the date, time and location the records were handled, and the Corodata employee who handled the records.

We perform four audits when we transport records to (“delivery”) and from (“pickup”) our client’s location - twice as many as our major competitors. For example, we perform our first audit when we take custody of the client’s records at the client’s location. These additional audit points eliminate significant risk points, for example, the driver may have misplaced a box for which there is no receipt (thus, not entered into inventory) or a box may have been placed into storage without a barcode, thus difficult to retrieve. This problem does not occur with Corodata.

How do I request my records?

Our facility employs strict access control measures, including biometric authentication and surveillance, to prevent unauthorized access to stored data.

What security measures are in place in your warehouse?

With 24-7 security systems including motion sensors and access codes, only authorized Corodata employees enter our facilities. Every Corodata employee has been through stringent background checks and training to ensure they are able to handle sensitive and important information.

At Corodata, we strive to provide the highest level of security to sensitive media. From the moment we pick up your items in our GPS monitored vehicles, to storage in our climate-controlled data vault, every step of our process adheres to our 6 layers of data protection security:

  1. SECURITY: Corodata premises are monitored 24/7 from the entryways to our warehouses. Limited points of entry into the building are monitored with motion and sound detectors.
  2. FLEET: Our fleet of trucks come standard with auto-locking doors and GPS monitoring to protect your information at all times.
  3. PERSONNEL: All Corodata employees are background checked and drug tested prior to hire.
  4. Only specifically trained and authorized employees are granted access to the warehouse.

From the moment your information is picked up at your facility, a detailed chain of custody report is created documenting all activity of the record.
